Privacy policy
To issue the policy we need your name, passport, travel dates and email. Here is exactly what we do with them and what we do not.
1. Data controller
LLC "WELCOME TO UKRAINE", Ushinsky str, bldg. 40, office 302, Kyiv 03151, Ukraine. Email: info@insuranceforvisitukraine.com. Further details are in the legal notice (Impressum). ReiseversicherungUkraine.de is an intermediary: the policy is issued by the insurance company EUROINS through the WelcomeUkraine platform.
2. What data we collect
When you buy a policy we collect:
- first name, last name and date of birth, as in the passport;
- passport number and citizenship;
- email address, to which we send the confirmation code and the PDF policy;
- phone number;
- travel dates and length of coverage;
- details of any companions added to the form.
Card details never pass through this site: they are handled by the payment processor WayForPay, PCI DSS certified. We also collect standard technical browser data (IP address, browser type, pages visited) for security and service improvement.
3. Why we use it
- to issue the policy and deliver the PDF by email;
- to process the payment through the secure processor;
- to support you and answer your requests;
- to comply with the obligations of Ukrainian insurance law;
- to improve the site and the service.
We do not sell, rent or pass your data to third parties for marketing purposes.
4. Who we share it with
- Insurance company EUROINS and the WelcomeUkraine platform, to issue and verify the policy;
- WayForPay, to process the payment securely;
- Google Analytics, only after your consent in the cookie banner;
- competent authorities, when required by Ukrainian law.
The operator, the platform and the insurer are based in Ukraine, a third country without an EU adequacy decision. The policy can only be issued there: a Ukrainian insurer has to enter your data in its register so that the border guard can verify the policy. The transfer is therefore necessary to perform the contract with you (Art. 49(1)(b) GDPR). Legal bases for processing: performance of the contract (Art. 6(1)(b) GDPR), legal retention duties (Art. 6(1)(c)), your consent for analytics (Art. 6(1)(a)).
5. Cookies and analytics
The site uses technical cookies needed for it to work. Google Analytics is enabled only after your explicit consent in the cookie banner, with anonymised IP. You can withdraw consent at any time by clearing your browser cookies: the banner reappears when the page reloads. Fonts are served from our own server: no requests are sent to Google Fonts or other third parties.
6. How long we keep it
Policy data is kept for 5 years, as required by Ukrainian insurance law. Other personal data is deleted within 12 months of your last interaction with the service.
7. Your rights (GDPR)
As a resident of the European Union you have the right to:
- access the personal data concerning you;
- request its correction if inaccurate;
- request its deletion, where retention is not required by law;
- object to processing;
- obtain data portability.
To exercise these rights write to info@insuranceforvisitukraine.com. You also have the right to lodge a complaint with a data protection supervisory authority, for example the authority of your German federal state (Art. 77 GDPR).
8. Security
All transmissions are encrypted with SSL/TLS. Payments are handled by PCI DSS compliant providers. We do not store payment card data on our servers.
